What data we collect and why:

Players & Candidates: Name, date of birth, contact details, academy history, career aspirations, session notes and progress records. Health and wellbeing data is collected only under Article 9(2)(h) of UK GDPR and is never shared without consent, except where we have a safeguarding obligation. Lawful basis: Contract, Legitimate Interests, Consent.

Parents & Guardians: Name, contact details, relationship to player and session-related communications. Lawful basis: Contract, Legitimate Interests.

Football Club Contacts: Name, job title, contact email and partnership communications. Lawful basis: Contract, Legitimate Interests.

Employer & Coaching Contacts: Name, company, role, contact details, and records of introductions and placements. Lawful basis: Contract, Legitimate Interests.

Website & Enquiry Data: Name, email address and enquiry content submitted via our website contact form or by email. Lawful basis: Consent, Legitimate Interests.

How long we keep your data:

Player and candidate programme records: 6 years from the end of the programme. Safeguarding records: 10 years or until the individual reaches age 25, whichever is longer.

Contract records: 6 years from the end of the contract, in line with the Limitation Act 1980.

Financial records: 6 years as required by HMRC.

Unsuccessful enquiry data: Deleted within 12 months of last contact.

DBS check records: We retain a note of the check date, type and certificate number only. Physical certificates are not retained for more than 6 months.

Your rights:

Under UK GDPR you have the right to access the personal data we hold about you, request correction of inaccurate data, request deletion of your data where there is no lawful reason to retain it, object to processing based on legitimate interests, and withdraw consent at any time where consent is the lawful basis for processing.

Who we share your data with:

We do not sell your personal data to any third party. We share data only where necessary to deliver our services — for example, sharing a candidate's details with an employer as part of a placement introduction, or with a football club as part of a partnership agreement. All sharing is done with your knowledge and, where required, your consent.
